Illustrative scene of school leaders reviewing administrative records beside a classroom.

A growing private school needed its administrative systems to support the same commitment to quality that it brought to education.

Amona Consulting developed an operating framework connecting academic delivery, admissions, finance, parent communication and management oversight.

The challenge

Important activities depended on informal communication and the knowledge of individual employees.

Admissions enquiries came through different channels, departmental reports lacked consistency, and approval responsibilities were not always clear. The proprietress frequently became involved in matters that needed defined ownership at departmental level.

The school required a common framework showing how work should move, who should take responsibility and what management needed to review.

What Amona Consulting did

We examined the school through the experiences of parents, pupils, teachers, administrators and leadership.

The resulting framework covered:

  • Leadership and accountability: Reporting relationships, departmental responsibilities and escalation routes.
  • Admissions: A defined journey from initial enquiry to enrolment, with a recommended central tracker.
  • Academic oversight: Processes connecting lesson planning, curriculum coverage, assessments and performance reviews.
  • Finance: Workflows linking enrolment information, invoicing, receipts, outstanding fees and reconciliation.
  • Parent communication: Procedures for enquiries, complaints, response tracking and escalation.
  • Pupil welfare: Documented approaches to attendance, authorised pickup and reporting concerns.
  • Operational support: Procurement, maintenance, stock and records-management procedures.

We also developed a KPI dashboard structure and reporting templates to support regular management reviews.

Deliverables and value

The school received a connected operating framework, clearer responsibilities and a phased implementation roadmap.

The roadmap set out how to introduce priority trackers, train employees, establish departmental reporting and progressively expand the school’s standard operating procedures.

These deliverables provided a foundation for more consistent administration and management oversight. The assignment described here focused on framework development; improvements in academic results, fee collection or parent satisfaction would require subsequent measurement.

What this means for school leaders

A school’s reputation depends on the entire service experience. Clear processes help leadership connect educational priorities with the administrative work needed to support them.
