A mission-led elderly care home wanted to prepare for growth while preserving the compassion at the heart of its work.

Amona Consulting supported the organisation with clearer responsibilities, staff-management tools and documented resident and administrative processes.

The challenge

The home had developed through the commitment of its founders and employees. As its ambitions grew, important activities still relied heavily on informal instructions and individual knowledge.

Staff responsibilities needed clearer definition. Onboarding and health-screening documentation required attention. Resident intake, welfare records, financial administration and escalation procedures needed a more consistent approach.

The priority was to create practical systems that a small team could use and maintain.

What Amona Consulting did

We reviewed the employee and resident journeys, identifying where clearer ownership, documentation and reporting were needed.

The work included:

  • Organisational structure: Defined governance, management, care, administration and support responsibilities.
  • Job descriptions: Clarified role purpose, duties, reporting relationships and performance expectations.
  • Staff assessment: Identified role fit, capability gaps and development needs.
  • Onboarding: Developed a more structured approach to orientation, records and workplace expectations, including health-screening requirements.
  • Resident intake: Strengthened documentation covering personal information, care needs, emergency contacts, consent and financial arrangements.
  • Welfare reporting: Clarified procedures for recording concerns and escalating them to management or appropriate professionals.
  • Finance and administration: Prepared documents to support record keeping and management review.

A website brief was also prepared to explain the home’s mission, services and admission process more clearly.

Deliverables and value

The organisation gained an operational framework supported by role descriptions, staff-management tools and resident and administrative documentation.

These deliverables established a clearer basis for accountability, continuity and future growth. They supported the organisation’s ability to introduce consistent routines; they do not, on their own, demonstrate measured improvements in resident health or safety.

What this means for care organisations

Compassionate care depends on people having the information, responsibilities and support they need. Practical systems help preserve those foundations as an organisation grows.
